The Hidden Cost of Doing Your Own Bookkeeping
The Hidden Cost of Doing Your Own Bookkeeping
For many small business owners, bookkeeping is something that gets squeezed in between serving customers, managing staff and running the day-to-day business.
It's understandable. Doing your own bookkeeping can seem like an easy way to save money, especially in the early stages of your business.
But while it may reduce your accountancy bill, it could actually be costing you far more in time, missed opportunities and avoidable mistakes.
At PJE Accountants & Advisors, we work with businesses of all sizes and often find that the biggest cost of DIY bookkeeping isn't financial. It's the impact it has on business owners' time, confidence and ability to make informed decisions.
Here are some of the hidden costs to consider.
1. Your Time Is Valuable
Every hour spent reconciling transactions or chasing receipts is an hour you're not spending on growing your business.
Whether that's winning new customers, improving your products or supporting your team, your time is usually far more valuable than data entry.
Ask yourself:
What is an hour of your time worth?
Could that time generate more income elsewhere?
Are you working evenings and weekends just to keep your bookkeeping up to date?
For many business owners, outsourcing bookkeeping quickly pays for itself simply by giving them more time back.
2. Small Mistakes Can Become Expensive
Bookkeeping isn't just about entering numbers into software.
Incorrect coding, duplicate transactions or missed reconciliations can all create problems that take time and money to fix later.
Common mistakes include:
Coding expenses to the wrong account
Duplicating supplier bills
Forgetting to reconcile bank transactions
Recording personal expenses incorrectly
Missing important supporting documents
These errors don't just affect your accounts. They can also impact management reports, tax calculations and business decisions.
3. VAT Errors Can Be Costly
VAT rules aren't always straightforward.
Depending on your business, different goods and services may have different VAT treatments. Claiming VAT incorrectly or submitting inaccurate returns can result in unnecessary payments, HMRC enquiries or penalties.
Good bookkeeping helps ensure your records are accurate throughout the year, making VAT returns much smoother and reducing the risk of costly mistakes.
4. Are You Claiming Everything You're Entitled To?
When bookkeeping becomes a task to get through as quickly as possible, it's easy to overlook legitimate business expenses.
Missed receipts, incorrectly categorised purchases or forgotten subscriptions can all mean you're paying more tax than necessary.
Keeping accurate, up-to-date records throughout the year helps ensure allowable expenses aren't missed.
5. You Lose Visibility of Your Cash Flow
One of the biggest advantages of keeping your bookkeeping up to date is knowing exactly where your business stands.
If your records are several weeks or months behind, you may not have an accurate picture of:
How much cash is really available
Which customers still owe money
Upcoming supplier payments
Future VAT or tax liabilities
Without reliable financial information, making confident business decisions becomes much more difficult.
6. Year End Becomes More Stressful
Nobody enjoys scrambling through receipts just before the year end or a tax deadline.
When bookkeeping has fallen behind, preparing accounts often takes longer because missing information needs to be found, questions answered and corrections made.
Keeping your records updated throughout the year makes year end significantly less stressful and often speeds up the accounts preparation process too.
7. Cloud Bookkeeping Makes Life Easier
Modern cloud accounting software has transformed bookkeeping.
Using solutions such as Xero allows businesses to automate many everyday tasks, including:
Bank feeds
Invoice creation
Receipt capture
Bank reconciliations
Cash flow reporting
Combined with apps such as Hubdoc and support from an experienced bookkeeping team, cloud accounting can dramatically reduce administration while giving you real-time access to your financial information.
8. Knowing When to Outsource
There's no single point at which every business should outsource bookkeeping.
However, it may be time to consider professional support if:
You're regularly working evenings to keep your records up to date.
Your bookkeeping is always several weeks behind.
You're unsure whether your VAT is correct.
You don't have confidence in your financial figures.
You're spending more time on administration than running your business.
Outsourcing doesn't mean losing control. In fact, many business owners find they gain more visibility because their financial information is accurate, organised and available whenever they need it.
